Routing is an operations problem

When a lead arrives through WhatsApp, email, a paid ad, or a website form, the first operational problem is not the message itself. It is deciding who owns the lead, where the record lives, and what happens next. If the answer depends on memory, the pipeline becomes messy fast.

A useful routing workflow assigns source, owner, lead type, and priority automatically. It should create a single record in the CRM, send the right notification to the right person, and prevent duplicate follow-up from different team members.

A simple routing model

Start by separating sources: paid ads, organic website inquiries, referrals, WhatsApp, and partner introductions. Then route by business type: buyer, seller, investor, landlord, tenant, or service request. Finally, use geography or language when that changes who can help fastest.

Keep the decision rules explicit. Example: if a lead comes from a paid ad and requests a listing or property visit, assign to sales and create a same-day follow-up task. If a landlord sends a document request, route to operations with document intake status. If a lead is an investor asking about readiness, route to the team member who handles that workflow.

What to measure

Measure first response time, duplicate contacts, unassigned leads, stale leads, and the percentage of inquiries that reach the correct owner on the first pass. If the team cannot tell who owns a lead within minutes, the routing model is too weak.

Routing should reduce effort, not create a new layer of admin work. Once the rules are in place, the team should spend less time searching for records and more time having the right conversations.
